ROLE: Director of Administrative Services

The Director of Administrative Services will be responsible for the overall responsibility of the accounting, administrative and other projects. Specifically, his responsibilities will include:

Accounting Supervision

· Oversee the preparation of the company's monthly and annual financial statements to the management team

· Supervise the full accounting cycle for the company, its sister company and its management company

· Liaise with governments, banks, accounting firm and other professionals

· Oversee monthly billing, track and manage payables and receipts

· Manage and track the customer billing cycle, work in progress (TEC) and other customer projects

· Support project teams in their budget tracking

· Oversee the processing and expense accounts of employees and make the payment

· Oversee the preparation of tax reports (federal and provincial)

· Carry out employee payrolls and liaise with provincial government bodies (Quebec)

· Oversee the work of the accounting team and participate in the proper development of its improvement to enable high efficiency and optimal engagement

Human Resources Management

· Ensure effective management of human resources

· Manage the mobile holidays, holidays, annual holidays of all the team

· Be the contact person for group insurance and pension funds

· Keep up to date the Employee Handbook, job profiles, employee records, salary range and other internal documents

· Follow up on training

· Manage international mobility files

· Link with CNESST and other organizations

· Participate in the process of hiring new employees and interns, from posting to hiring.

· Prepare hiring contracts and take care of welcoming new employees

· Provide support to managers in annual and performance monitoring. Manage conflicts

· Being the respondent to Statistics Canada

Administrative Management

· Participate in annual strategic planning

· Manage employee and trainee files (hospitality, contracts, vacations, absences, group insurance, etc.)

· Manage tax credit files

· Manage insurance (professionals and clients), leases and ensure the smooth running of offices

· Negotiate and coordinate the work of technical suppliers

· Oversee the reception and keep the offices clean.


· Bachelor's degree in Administration, Accounting or other related field

· Possess a minimum of 5 years experience in a similar position

· Professional Services Business Experience



· Mastering the complete accounting cycle

· Experience in a project accounting environment

·Pan-Canadian and foreign experience (an asset)

· Experience in a multi-currency environment (an asset)

· Proficiency in Microsoft Excel (layout, programming formulas, Pivot tables, etc.)


· Have an excellent sense of initiative and organization

· Demonstrate rigor and attention to detail; ensure rigorous follow-ups

· Demonstrate a good sense of autonomy and positive leadership

· Excellent management of priorities and deadlines while demonstrating flexibility

· Ability to develop and maintain excellent interpersonal relationships both within the organization and with external partners

· Demonstrate dynamism, intellectual curiosity and a willingness to improve processes to support the company in its growth
