Assistant, Human Resources

International in scope, this law firm is looking for an assistant for its talent / human resources department. Under the direction of the Senior Director of Legal Talent, the Talent Assistant is responsible for providing any administrative support necessary for the student, paralegal and staff lawyer/staff programs, including recruitment, orientation, integration, training and development, and assessment.

Functions

Assist the Legal Talent team with administrative tasks, such as:

- Statements of expenses, petty cash and requests for payment of invoices;

- Data inputs (Access, training management system, Excel, SharePoint, etc.);

- Preparation and merging of documents (letters, roundels, interview forms, etc.);

- Regular updating of documents and lists;

- Organization of meetings, reservation of rooms and ordering of meals;

- Arrival and departure process (preparation of arrival documents, communications, orientation times, etc.);

- Organization of events, recruitment activities and training;

- Photocopies, scans and filing;

- Any other related tasks.

Assist the Training and Development team with administrative tasks, such as:

- Expense statements and invoice payment requests;

- Data inputs (training management system, compulsory continuing education credits, Intranet, etc.);

- Sending registration links to the program manager;

- Creation and transmission of feedback questionnaires;

- Periodic assistance in the preparation of course materials (as required);

- Coordination of the integration process for new employees in Quebec;

- Coordination of national programs;

- Any other related tasks.

Skills and experience required

- Bilingualism - French and English (oral and written);

- Very good computer knowledge (Outlook, Word, Excel, PowerPoint, SharePoint) and willingness to master new software;

- Great rigor and attention to detail;

- Discretion;

- Sense of organization and management of priorities;

- Autonomy, sense of responsibility and speed of execution;

- Flexibility, team spirit and ability to work under pressure;

- Positive attitude, focused on customer service;

- Experience working in a law firm or other professional services firm (asset).
